TPG Management and Program Execution
- 5th program we have managed for this client.
- Provided team consistency—a number of planning staff and on-site staff members had worked with the client on previous programs. The team provided pro-active service/support with a solid knowledge of the program requirements, expectations, familiarity with executives and attendees.
- Program grew in size requiring last-minute program changes: secured additional hotel rooms beyond initial block for the 40+ new winners, secured new locations for several functions due to the larger group size, added tours on sponsored activity days, expanded transportation coverage and increased TPG on-site staff coverage.
- Full service planning and management of 5-day, 4-night program. End-to-end solution including: management of hotel space search/site selection and contract negotiation, web site development and registration, onsite transportation logistics, on-site hotel management including room block management, coordination of F&B, offsite venue management and sponsored activities. Client managed their registration but TPG quality controlled all lists to ensure that databases were aligned.
- Managed sourcing/purchasing/shipping and delivery of room gifts each evening.
- Designed/ sourced/ produced special invitations for each event and reception and personalized cards for each gift.
- Client experienced a 200% increase of additional guests. TPG sourced additional availability for activities, meals and additional evening function.
Results
- Overwhelmingly positive feedback from attendees and top executives—they remarked repeatedly on how well the TPG staff worked as a team to support each request.
- Qualification higher than anticipated and TPG was able to work closely with hotel, offsite venue providers and other suppliers to expand support of the larger group functions. The last minute challenges were seamless to the client.
- Attendees and executives appreciated the unique “flavor” of each offsite event and the attention to detail.
